About administrating licenses, users, and roles
In order to set up user access to Direct functionality in your NetSuite instance, you must configure multiple settings per user. With the proper NetSuite credentials, you can administer these settings in a NetSuite instance with the Direct bundle installed. Repeat these procedures every time you add a new user to the Direct solution.
User types
In order to access Direct functionality, users must be configured with one of the following user types.
-
Employee user. Grants access to both Direct apps and the Direct configuration menu. Consumes one NetSuite user license.
-
Customer user. Grants access only to Direct apps. Does not consume a NetSuite user license.
Direct licenses
When you enter your NetSuite license key during the initial solution configuration, you receive a set number of Direct user licenses that are stored in your NetSuite instance. Every time you configure an employee user to access Direct, one Direct license is associated with the user. You can remove an employee user from Direct to regain the user's associated license.
Employee users consume one Direct license in this way. However, the Customer user type does not consume a NetSuite license.
App access by user
You must specify which apps a user can access from the Direct App Menu. If you do not provide a user access to an app, the user will not be able to view or run the app. This allows you to prevent individual users from accessing certain secure apps, such as Inventory Adjustment or Advanced Inventory Count Review.
Important:If running a hybrid Direct on PaaS solution, ensure that the username used to login to NetSuite, usually DSI_Rest@(COMPANYNAME).com, has access to all desired apps.
You must configure each user with the ability to access apps, regardless of user type (Employee or Customer). NetSuite roles and permissions
You must ensure that each NetSuite user is assigned to a role with specific NetSuite permissions in order for that user to access Direct apps.
Assign all Employee users to an administrator role, such as DSI_MobileClient_User or DSI_MobileClient_User_Enhanced_Permission. These roles allow the users to complete all necessary transactions.
Assign all Customer users to the Direct Customer Portal role. This role allows customer users to access and execute the necessary apps.
For a more secure environment, you can avoid assigning particular permissions to a role. As a result, users with that role will not receive access to any applicable app transactions. For example, we recommend restricting access to Inventory Adjustment for all but one specialized user.
